How billing works for GroupVitals

All plans are on a monthly billing cycle

Free and paid plans are on a 30 day billing cycle that started the day that you signed up for your GroupVitals account. 

At the end of your billing period, we automatically count how many active groups are in your account and charge you according to the plan you fall under. This charge is for the next 30 days of service.

If you have 5 or less active groups at the end of your billing period, you won't be charged anything.

You can always see which plan you’re currently on by clicking on the gear icon in the top right (account admins, only) and click on the Billing link in the drop-down.

The free plan

You can use GroupVitals as much as you’d like for free. The current limitation is that you cannot view or track more than 5 groups (but you can place people into more than 5 groups via the prospect pipeline).

As long as you have 5 active groups or less in your account on the last day of your billing cycle, you won't be charged.

The only current limitation is that you cannot use our text-based attendance taking feature.

If you’d like to view and track more than 5 active groups, then you’ll need to add a credit/debit card on file via the Billing page.

If you don't have a credit/debit card on file while under the free plan, you can add as many groups as you want, you just can't view their profile or track them. 

If you do have a credit/debit card on file while under the free plan, then anyone can add, view and track more than 5 groups at anytime. At the end of the day, our billing system will look at how many groups you currently have and move you into the appropriate plan. Your card will only be charged on the last day of your billing cycle if you fall under a paid plan on that day.

Example 1 (free plan)

If on the 1st day of your billing cycle you were at 4 groups (free plan), then on the 10th day you had 6 groups (paid plan and with your card on file), then on the 25th day you went down to 5 groups (free plan) and you never add any more groups. Then on the last day of your billing cycle, our billing system will see that you’re on the free plan with 5 groups and your card will not be charged.

Example 2 (paid plan)

If on the 1st day of your billing cycle you were at 15 groups (paid plan), then on the 20th day you had only 4 groups (moved to free plan), then, if on the last day of your billing cycle you add 9 more groups for a total of 13 groups, you'd move into a paid plan and be charged when our billing system does it daily processing. 

If you do not have a credit/debit card on file, you would still be under the free plan and not charged, because you wouldn't be allowed to add more than 5 groups if you don't have a card on file.
