How Leadership Span of Care Works

GroupVitals uses what we call "span of care" to reflect your hierarchy of groups, leaders and people who oversee group leaders.

Typically, a span of care structure looks like this:

Here are common terms we see for the top 3 leadership level:s

Groups Administrator: Coordinator, director, pastor, etc..

Leader Level 3: Senior coach, area director, area leader, manager

Leader Level 2: Coach, mentor, shepherd, community leader, adviser

Connecting People vs Groups

There are two ways we see organizations go about setting up their structure:

1. They'll connect a Level 2 leader to groups and a Level 3 leader to a cluster of groups.

2. They'll connect a Level 2 leader to group leaders and a Level 3 leader to a cluster of group leaders.

In GroupVitals, we designed it for option 2 - connecting people with people, rather than groups. There are pros and cons to both, but we chose option 2 because it was what we saw to be most common and only having to design the software to support one option made things much simpler for us and our customers.

How to See People and Groups Someone's Under Span of Care

Since you can't connect a high-level leader (2 or 3) to a group, we have come up with ways to show ultimately which groups are under their span of care, or down line.

Let's start with an example:

The group Women's Book Club has a leader named Pam. 
Pam has a Level 2 leader assigned to her (e.g, a coach) named Angela. 
Angela has a Level 3 leader assigned to her (e.g., a senior coach) named Erin.

So the top-down structure is: Erin > Angela > Pam > Women's Book Club

People Profiles

As the account administrator, you'll be able to see which people and groups are under a Level 2 and Level 3 leader's span of care on their personal profile page. Just click on the tab for their role to see them.

In our example, if you go to Erin's profile and click on the Senior Coach tab, you'll see the coach Angela, under her span of care. You'll then see the group Women's Book Club with Pam listed as the leader.

Groups List

In the top nav, if you click on groups to see your list of groups, there's a search filter drop-down for Level 2 and Level 3 leader roles. The drop-down is populated with the names of those leaders. Simply select someone's name and it will filter out the groups to just show those under that person's span of car

When Level 2 and Level 3 leaders login, they'll have access to the groups list page, which will only show groups under their span of care.

Group Profiles

If you go to a groups profile, you'll see who the Level 2 and Level 3 leaders are that are within the span of care for that group. Essentially, the up-line leadership based upon who's overseeing the group's leader. Here's our example:

To reiterate, if you want to assign a Level 2 and Level 3 leader (e.g, Senior Coach or Coach) to a group, you'll first need to assign a Coach to the Group's Leader and then assign a Senior Coach to that group leader's coach. Learn more.
