If You're Ready to Setup The Sync:

It will take approx. 2-4 days to get your account setup.

Day 1 will take you ~30 minutes, depending upon your CCB knowledge and access level.

Day 2-4 will be waiting for our team to import all of your people from CCB. Once we manually import all your people, the sync will automatically keep each person updated between the two systems and will sync all of the CCB group types you've selected.

Here are your steps for day 1:

  1. Create your GroupVitals account and add your billing information.
  2. If you have added people into your GV account before setting up the CCB integration, then you'll need to first send us their CCB ID # so that we can add that to their account beforehand. Otherwise, you'll end up with duplicates for each person that is in your GV account. Learn more about how to easily do this.
  3. Create a new CCB Group Type(s) in CCB specifically to sync with GV, or at least confirm with the appropriate church staff / data admin which existing CCB Group Types you'd like to sync.
  4. Create a new API User in CCB dedicated to only sync with GV (instructions)
  5. Create a new CCB Membership Type in CCB that you want to be given to new people who are added to GV and that sync over to your CCB database. We recommend "New from GroupVitals"
  6. In CCB, make sure you or your leaders turn off the group email notification "Email group leaders when participants change status" (Group profile > Actions > Options) for each group. By default, this is not enabled for new groups. But some people choose to turn this on.
  7. Ensure that all current group leaders are not a "Limited Access User" in CCB. If they are, you'll need to uncheck that, as CCB won't let us sync a group if the leader is a limited access user.
  8. Export all of your people from CCB into a .csv (instructions
  9. If you're multi-campus, we need your campus ID #s. Please go to your CCB > Settings > Campuses. On the right hand side of the page is a list of all of your campus. Select the entire list of campuses and copy/paste that into your email to us. The links for the campus names will contain the CCB ID #.
  10. Send us an email ([email protected]) where our team will receive it with the following:
    1. Your .csv people export from CCB
    2. Your API username and password
    3. Your API URL (or the URL to your CCB login page)
    4. The name of the of your CCB "group types" you'd like to sync with GV
    5. The default CCB attendance grouping you'd like GV to use for groups
    6. The CCB "membership type" you'd like to use for new people from GV
    7. The CCB group type you'd like to use for groups that get archived in GV
    8. The list of campus names you copied from your CCB campus settings.

Please give us 24-48 business hours to import all of your people, then configure your account to sync with CCB and then kick off a first time sync to bring over all of your groups. Once that's done, we'll send you an email.
